Switching guide
Switching from Toggl
One export from Toggl Track, one import screen in Hello Bean. Hello Bean recognises the detailed export as it comes, shows you a preview, and saves nothing until you confirm.
1 · Your time
- In Toggl Track, export the detailed report as a CSV from its reports. Pick the date range you want to bring across first.
- In Hello Bean, open Settings → Data → Import and choose Import time. Drop the file in.
- Hello Bean names the file as a Toggl export and fills in the column map. Check it, then read the preview.
- Confirm. Clients, jobs and tasks that don't exist yet are created; ones that do are matched and never renamed.
| Toggl column | Becomes in Hello Bean |
|---|---|
| Start date | The entry's date |
| Client | The client, matched by name |
| Project | The job, matched by client and name |
| Task | The task, matched by name |
| Description | The entry's note |
| Duration | Hours (01:30:00 becomes 1.5), rounded to the quarter hour if you leave that option on |
| Start time · End time | Kept on the entry, so you can see when the work happened |
| Billable | Billable or not |
| Tags | Added to the note, if you tick that option |
Several timer sessions on the same job, task and day are merged into one entry by default (you can switch that off). Run the same file twice and nothing is added twice.
Menus in other tools change from time to time. If a step has moved, look for the export option in its reports.
Before you import
- Every entry needs a client and a project. Entries without one are listed in the preview as skipped, with the line number, so you can fill them in the file and import again.
- Hello Bean works in hours and days (8 hours to a day). Your invoices can still bill by the day, the hour or a flat fee.
- The file carries no job codes, so Hello Bean gives each new job one (for example ACM_001). You can change it later.
Invoices and contacts you kept elsewhere
This guide covers time. If you have a list of past invoices or client contacts, follow the spreadsheet guide: a register with invoice number, client, date and total imports in the same screen, and your invoice numbers can carry on where they left off.
What stays behind
- Rates. Set your day and hourly rates, and any job or task rates, in Hello Bean.
- Team members. Every imported entry lands on your account; names in the file are not kept.
Imported hours stay in your history and reports. Figures that judge how you work now, such as your realised day rate, count only time logged in Hello Bean.
