Switching guide

Switching from Harvest

Three exports from Harvest, one import screen in Hello Bean. Hello Bean recognises each Harvest file as it comes, shows you a preview, and saves nothing until you confirm.

1 · Your time

  1. In Harvest, export your time report as a CSV from its reports. Pick the date range you want to bring across and choose the detailed export.
  2. In Hello Bean, open Settings → Data → Import and choose Import time. Drop the file in.
  3. Hello Bean names the file as a Harvest export and fills in the column map. Check it, then read the preview.
  4. Confirm. Clients, jobs and tasks that don't exist yet are created; ones that do are matched and never renamed.
Harvest columnBecomes in Hello Bean
DateThe entry's date
ClientThe client, matched by name
Project · Project CodeThe job, matched by code first, then by client and name
TaskThe task, matched by name
NotesThe entry's note
HoursHours, rounded to the quarter hour if you leave that option on
Billable? · Invoiced?Billable or not; "Yes" in Invoiced marks the hours as already billed

Entries for the same job, task and day are merged into one by default (you can switch that off). Run the same file twice and nothing is added twice.

Menus in other tools change from time to time. If a step has moved, look for the export option in its reports.

2 · Your invoices, and where the numbering carries on

  1. In Harvest, export your invoices as a CSV. The file has one row per invoice line.
  2. In Hello Bean, Settings → Data → Import → Import invoices. Lines that share an invoice number become one invoice.
  3. Each invoice keeps the number it had. State open becomes Sent, paid becomes Paid and closed becomes Void.
  4. If your numbers look like 2026-041, tick Continue numbering after the import and your next Hello Bean invoice is 2026-042. It only moves forward.
  • A line's Item Amount is used when its unit price is blank.
  • An Item Project Code links the line to a job you already have; it never creates one.
  • Paid invoices from your history never trigger a thank-you email.

3 · Your contacts

Export your client contacts from Harvest as a CSV, then go to Settings → Data → Import → Import contacts. First and last names are joined, the title becomes the role, and the office or mobile phone fills the phone number. A person already on a client (same email, or else same name) is skipped, so nobody is added twice.

What stays behind

  • Rates. Set your day and hourly rates, and any job or task rates, in Hello Bean.
  • Team members. Every imported entry lands on your account; names in the file are not kept.
  • Expenses, estimates and budgets. Add the ones you still need by hand.
  • The link between old invoices and old time. Imported invoices are kept exactly as they were sent, as their own record.

Imported hours stay in your history and reports. Figures that judge how you work now, such as your realised day rate, count only time logged in Hello Bean.
