Bean · included in Power Bean

Knows your business. Never acts without you.

Bean is the assistant inside Hello Bean. Before it answers, it reads a snapshot of your actual numbers — outstanding invoices, unbilled time, open quotes, retainer funds, this week's hours — and the playbook you wrote about how you work. Then it answers plainly, and asks before it does anything.

What Bean does

Six things, all from your own numbers

Answers the daily questions

“Who owes me right now?” “Did I log every day this week?” “How much is unbilled on the Acme job?” “What's left in the retainer?” Bean reads the live snapshot — it is forbidden from inventing a period total it can't see.

Nudges in a sensible order

Overdue invoices first, then unbilled time, then quotes going quiet, then an idle retainer fund. The nudge opens the right screen; you decide.

Turns a brief into a plan

Paste a client brief and get deliverables, day estimates with your contingency, key dates, assumptions and the questions to ask back. Create the project and a draft quote from it, or lay it into the Planner against your real capacity.

Drafts, for you to send

The chase email for an overdue invoice, the note on an invoice email, a re-introduction to a quiet client. Bean writes the draft into the email modal; you read it and press send — or don't.

Remembers what you tell it

Say something durable — “Acme always needs a PO number” — and Bean offers a Remember this? card. Mention a call you made and it offers to log the touchpoint; name a new person at a client and it offers to add the contact. Each is a card; nothing is saved until you confirm.

Learns how you work

Six guided questions in Settings → Ask Bean → Teach Bean — pricing, a typical job, capacity, key clients, boundaries, what to challenge you on — compile into the playbook Bean reads every time. Edit it any time.

The rules

What Bean never does

  • Never sends. No email, no quote, no invoice leaves the app because Bean decided to. Drafts land in front of you.
  • Never writes without a card. A note, a touchpoint, a contact, a piece of feedback — each appears as a card you confirm or dismiss. Bean has no other way to change your data.
  • Never invents numbers. Figures come from the snapshot; when the data is thin, Bean says so and gives the sample size.
  • Never assumes your pricing. Day rate, hourly per task or mixed — it reads your model from your own settings and playbook, and offers a rate rise as an option, never a rule.
  • Never keeps your questions without consent. The topic of a question is logged so we can see what people can't find; the text is stored only if you opt in under Settings → Data → Help improve Hello Bean, and is stripped after 12 months.
  • Never promises what your plan doesn't have. Bean's map of the app matches your tier.

The key

Included allowance, or bring your own

Power Bean includes a monthly allowance of Bean questions on Hello Bean's own key. The drawer shows what's left, and your own AI key lifts the limit.

Want no limit? Add your own AI key (Anthropic) under Settings → Ask Bean → AI key. It is checked with one tiny call, stored server-side, never shown again, and your provider bills you directly — usually cents. Remove it any time.

Under our key, requests run under Anthropic's commercial terms, which exclude training on customer data. Under your key, your agreement with your provider applies. The detail is in the privacy policy.

A Bean reply ending in a “Remember this?” card with Remember and Not now buttons.
The capture card: Bean proposes, you decide.

Bean is not the product. Your week is.

Core does the whole job without Bean — time, quotes, invoices, payments, expenses, every report. Bean is the layer for the person who wants an admin assistant who has read the books.
